Organizing the Library

Click the star beside a song, or choose Add to Favorites from the right-click menu, to mark it as a favorite. Turn on Favorites in the sidebar to show only favorites. The Song and Media pickers have a Favorites filter too.

Tags group songs, media and saved slides across the Library, for example “Christmas”, “Kids” or “Backgrounds”. Tags appear in the sidebar with a count; click one to show only items with that tag. Tags also filter the pickers in Design, and Search finds items by tag.

  • To one item: in its details, click + Tag, then type a tag name. Choose an existing tag, or Create a new one.
  • To several items: select them, click Tag…, and check the tags to apply.
  • By dragging: drag items onto a tag in the sidebar.

If you don’t have any tags yet, click Add starter tags in the sidebar for a set of common ones: Worship, Hymns, Kids, Christmas, Easter, Communion, Backgrounds, Announcements and Video loops.

Click Manage beside Tags in the sidebar. There you can:

  • add a tag with New tag;
  • rename a tag;
  • change its color (red, orange, yellow, green, blue, purple or gray);
  • delete it. If the tag is in use, Guidepost asks first. Deleting a tag doesn’t delete the items.
  • Each section has its own search field. Songs can be searched by title, author, lyrics or CCLI number; media by name or tag.
  • Sort by Name, Date added or Last used.
  • Choose List or Grid view.

Each section remembers its own filters, sort and view.

Select items and press Delete, or click Delete. If an item is used in the open presentation, a saved slide, or presentations you’ve opened recently, Guidepost lists where and asks first. Items that aren’t used anywhere are deleted straight away, with Undo in the notice.

Deleting from the Library never breaks a saved presentation, because each presentation file contains its own copy of what it uses.

Deleted items stay in Recently deleted, at the bottom of the sidebar, for 30 days. Each shows how many days are left. Click Restore to bring one back.

To permanently delete everything in Recently deleted, click Empty now… and confirm. This can’t be undone. You can also do this from Settings › Library.
